Bounced-back emails are emails that could not be successfully delivered to recipients. A bounced-back email usually indicates an issue with the recipient’s email address or email server.
Common Reasons for Bounced-Back Emails
Emails may bounce back for several reasons, including:
- Incorrect or misspelled email addresses
- Full mailboxes
- Company spam or security filters
- Invalid or inactive email accounts
- Server delivery issues
Reviewing bounced-back emails helps ensure that all participants receive access to the assessment.
Who Receives Bounced-Back Emails
In most projects, bounced-back email notifications are typically sent to the project administrator (that is, the email address specified in the account Organization Settings).
However, in projects where Subjects are asked to enter their own responders through the Subject Portal, bounced-back notifications are instead sent to the Subjects, who are responsible for reviewing and correcting the responder email addresses.
Resolving Bounced-Back Emails
When an email bounces back to the Administrator:
- Review and correct the recipient’s email address on the People List page
- After making corrections, resend the email from the Emails page
When an email bounces back to a Subject:
- The Subject receives a notification email from Panoramic Feedback
- The Subject uses the link provided in the notification email to open the address correction page
- After correcting the responder’s email address and saving the changes, the system automatically resends the email to the updated address
Promptly correcting bounced-back emails helps prevent delays and supports stronger participation rates.
Why Monitoring Bounced-Back Emails Matters
Monitoring bounced-back emails helps:
- Improve participation rates
- Ensure invitations reach the intended recipients
- Reduce delays in the feedback process
- Identify delivery or email address issues early
- Prevent missing or incomplete feedback due to undelivered invitations
Regularly reviewing bounced-back emails helps keep your project running smoothly and ensures participants can access the assessment successfully.
Important Considerations
- Review bounced-back emails shortly after sending invitations
- Follow up promptly when delivery issues occur
- A bounced-back email means the recipient did not receive the invitation
- Recipients cannot access the questionnaire until the delivery issue is resolved
- Correcting an email address may require the invitation email to be resent
- Some corporate email systems may block automated emails or external links
- Monitoring bounced-back emails regularly can help prevent delays in project completion
