Sending Reminders

Reminder emails are used to follow up with Responders who have not yet completed their feedback.

In Panoramic Feedback, reminders are sent using automatic emails and are typically scheduled in advance.


What is a Responder Reminder Email?

A Responder Reminder email is an automatic follow-up message sent to responders who have not completed the questionnaire.

  • Responder Reminders are sent after the initial invitation (Responder Catalyst)
  • Target only non-responders
  • Encourages completion before the deadline

You can schedule multiple reminders throughout your project.


How Reminders Work

Responder Reminder emails should typically be scheduled to send automatically. Manual reminder sending is generally not recommended.

With automated reminders:

  • You create and schedule Responder Reminder emails in advance
  • The system automatically sends reminders only to responders who have not yet submitted their feedback
  • Responders who have already completed the questionnaire do not receive reminder emails

This helps ensure that only the appropriate responders are contacted and keeps project communication organized and efficient.


How to Set Up Reminders

To configure reminder emails:

  1. Go to the Emails section within your project
  2. Open Automatic Emails
  3. Create or edit a Responder Reminder email
  4. Review and customize the email content
  5. Set the scheduled send date
  6. Save the email

It is recommended to schedule multiple reminders throughout the project timeline.

Once scheduled, reminder emails will be sent automatically on the specified dates to responders who have not yet submitted their feedback.


When to Schedule Reminders

Reminders are typically scheduled:

  • A few days after the initial invitation
  • At regular intervals during the project
  • Shortly before the project deadline

This helps maintain momentum and improve response rates.


Tips for Sending Reminders

  • Schedule multiple reminders in advance
  • Space reminders appropriately to avoid overwhelming responders
  • Use clear and encouraging language
  • Include deadline information where applicable
  • Monitor response rates and adjust timing if needed
