The Export Response Data feature allows you to download all feedback data collected in your project, including both numerical scores and written comments.
Exports are provided in a structured format for further analysis, reporting, or integration with other tools.
What Is Included in the Export
The export files include:
- Numerical responses (ratings and scores)
- Written comments (narrative feedback)
- Subject and project-level information
- Responses grouped by category (e.g., Manager, Peers, Direct Reports, Self)
For example, narrative exports group comments by question and responder category, making it easy to review themes across respondents.
Export Options
When exporting data, you can configure:
Include
- Select which subjects to include in the export
- Example: All Subjects or a single Subject
Division of Files
- Per Project – all response data for the project is combined into a single file
- Per Subject – separate files, one for each Subject
Report Type
Choose whether the export should be interim or final:
- Interim — exports the current response data while questionnaires remain open
- Final — closes questionnaires for the selected Subjects and finalizes their responses before exporting data
Common Use Cases
Use Export Response Data to:
- Perform deeper analysis outside the platform (for example, in Excel or BI tools)
- Share raw response data with stakeholders or analysts
- Conduct custom reporting beyond standard Subject or Group Reports
- Analyze response patterns and questionnaire effectiveness
- Review the frequency of N/A responses, which may help identify unclear or less relevant questions and support future questionnaire refinement
Understanding the Export Files
Exports are typically provided as a zipped file containing:
- A structured numerical data file (such as CSV) for quantitative analysis
- A narrative comments file containing written feedback responses
Both types of files organize feedback in a readable format, typically grouped by:
- Subject
- Question
- Responder category
This structure makes it easier to analyze patterns, identify strengths and development opportunities, and perform additional reporting outside the platform.
Important Considerations
- Selecting Final will close questionnaires and prevent additional responses
- Exported data reflects the current state at the time of export
- Ensure appropriate permissions and confidentiality when sharing raw data
